How to create event tickets with QR codes for your club
Parties, matches, galas, quiz nights: sooner or later every club sells tickets. Here is how to create tickets that are easy to send, hard to copy and quick to check at the door.
- A ticket needs the event, the date and time, the place, the category and a unique code.
- A unique QR code per ticket is what stops copies and screenshots from getting in twice.
- Tickets in Apple Wallet or Google Wallet appear on the lock screen on the day.
- Any phone can be the scanner; no special hardware is needed.
What to put on a ticket
- The name of the event and of your club.
- The date, the opening time and, if useful, the start time.
- The venue and its address.
- The ticket category: standard, member, student, VIP, child.
- The guest’s name, if tickets are personal.
- A unique code: a QR code or a barcode.
- Short conditions on the back: no refund, age limit, cloakroom.
Printed tickets or digital tickets?
Printed tickets with a number are fine for a small event where everyone knows each other. They are hard to manage once you sell in advance: you have to print them, distribute them, keep track of who paid, and anyone with a printer can copy them.
Digital tickets are sent by email or link and each one carries its own QR code. In Apple Wallet or Google Wallet, the ticket appears on the guest’s lock screen at the time and place of the event, so nobody has to search their inbox at the door.
Why each ticket needs its own QR code
A QR code that is the same for everyone only proves that someone saw the ticket. A unique QR code per ticket lets the scanner check two things: that the ticket exists, and that it has not already been used. A screenshot shared in a group chat gets in once, then the scanner rejects it.
Choose your activity, type your club’s name, and add the card to Apple Wallet or Google Wallet. Free, no sign-up.
Step by step
- Create the event: name, date, time, place, description and capacity.
- Set categories and quotas: for example 200 standard tickets, 50 member tickets, 20 VIP.
- Share the booking link on your website, social media, newsletter and WhatsApp groups.
- Guests receive their ticket by email and add it to their Wallet.
- Scan at the door with one or more phones; every scan is checked live.
With MPass, tickets go straight into Apple Wallet and Google Wallet, and the scanner refuses duplicates and tickets already scanned. Members-only events can ask for the membership number when booking. See event ticketing and the ticket designs by type of event.
Taking payment
You have two options. Ticketing platforms collect the money for you and keep a commission on each ticket. Or you collect payment yourself, by bank transfer, payment link or at the door, and use a ticketing tool only for the tickets. The second option is often cheaper for clubs; we compare both in how to sell tickets without commission.
On the day
- Open the doors with two scanners if you expect a queue at opening time.
- Keep a printed guest list as a backup if the network is weak.
- Check the scan count during the evening to know how many people are inside.
Frequently asked questions
How do I make a ticket with a QR code?
Use a ticketing tool that generates a unique QR code for each ticket. With MPass, every ticket gets its own code and goes into Apple Wallet or Google Wallet.
Can people copy a QR code ticket?
They can copy the image, but a scanner that checks each code online accepts it only once. The second scan is refused.
Do I need a special scanner?
No. Any smartphone with the scanner page open can check tickets, and several volunteers can scan at the same time.
